BCU-FTS-63075 - VIDEO CONFERENCING EQUIPMENT, SUPPORT & MAINTENANCE
Betsi Cadwaladr University Health Board (BCUHB) are looking to procure video conferencing equipment and would like to establish a support and maintenance contract alongside for these devices to assist the local BCUHB support teams to manage and support its PolyCom Video Conferencing estate.
BCUHB has a number of Video Conferencing codec endpoints still in use across its sites within North Wales. Most of these endpoints are located in the three District General Hospitals at Ysbyty Gwynedd, Ysbyty Wrexham Maelor, Ysbyty Glan Clwyd and at some of the eighteen Community Hospital sites across North Wales.
The health board use Microsoft Teams for much of its collaboration and videoconferencing requirement but also use PolyCom endpoints in situations where a room-based system is required (e.g. large meeting rooms, and Multi-Disciplinary Clinical Meetings). The health board also subscribe to a PexIP CVI SaaS service allowing legacy non-MS Teams codecs to interoperate with MS Teams meetings as required.
The strategic direction for the health board is to facilitate a planned retirement of these older codecs and upgrade them to native MS Teams codecs within the next 12 months, allowing the health board to retire its PexIP service.
BCUHB is seeking to procure options for a third-party contract for the provision of Professional Services in relation to its Video Conferencing estate to include (but not be limited to) the following;
1. Assist with the auditing and documentation of the existing BCUHB legacy Video Conferencing estate.
2. Assist with the planning, preparation, and implementation of BCUHB migration from legacy PolyCom codecs to native Microsoft Teams endpoints where appropriate (e.g. for Clinical Multi-Disciplinary meeting rooms).
3. Audit, plan, and implement software maintenance and upgrade activity for the entire VC Codec estate and associated environments.
4. Configuration, planning, and maintenance of a BCU specific central Video Conferencing management portal.
5. Configuration, planning, maintenance, and administrative tasks relating to the PolyCom Videoconferencing service.
6. Help to develop and ensure that all Video Conferencing systems are correctly monitored, managed, and maintained using appropriate tools (e.g. management portal).
7. Ensure all system documentation in relation to the Video Conferencing estate kept up to date.
The successful contractor will provide services as set out above to assist and support an established and experienced Voice and Data team within the ICT department of BCUHB.
