Overview of the Requirement

The Asset Management Team look after corporate and domestic assets within the district. The team provides new, improvements, cyclical, planned and responsive maintenance support across many service areas within the council.
The Warwick District Council (WDC) covers a diverse range of works including:
o WDC assets, corporate and domestic including communal areas around
o WDC surface and multi-storey car parks
o WDC parks and open spaces
o Non-highway access roads
o Groundworks
o Fencing
o WDC owned assets within the public highway including, finger posts and signs, street name plates, bus shelters, street seats and bins.
o Maintenance and repairs of approved cycle trails (training will be provided)
Our aim is to ensure that the Council's portfolio of assets is sufficient and capable of meeting the Council's needs and objectives. We wish to assist the delivery of our target by promoting a low carbon/energy efficient District and ensure that service delivery demands can be met.
The Procurement Procedure
This procurement will follow the competitive procedure with negotiation in accordance with the Public Contracts Regulations 2015.
The Council reserve the right to award without negotiation on receipt of applicant's initial submissions, or to enter into negotiations with applicants on any aspect of their submissions except for the Minimum Requirements and Award Criteria. The Council may use the negotiation procedure to improve applicants' initial submissions and may also be used to reduce the number of applicants invited to submit a best and final offer.
During any possible negotiation stage, the procurement exercise will also consider variant bids which may ultimately prove to be a best fitting solution for the Council. All variant bids must be accompanied by a fully compliant bid/s to then be considered.
Minimum Requirements of the Procurement Exercise (Non-Negotiable)
Over the course of this procurement process the authorities will assess and will make award decisions following the Minimum Requirements stated below.
A Successful Supplier will:
o Assist Warwick District Council in meeting its obligations
o Provide the Council with confidence in their ability to fulfil the specified provision
o Satisfy the Council that its tendered response is financially sustainable for the term of the contract.
o The Contractor will undertake both responsive and programmed maintenance and repairs with no minimum value order.

WDC - Inspection and Maintenance of Rural Footway lighting within Warwick District
WDC are seeking to procure a new contract for the Planned Maintenance and Reactive Repairs to WDC owned Lighting and associated items for a period of 2 years with extension options of (1+1).This contract is to provide maintenance to lanterns and lighting columns at Warwick District Council's rural footway and garage sites. The new contract is to include WDC car parks and other amenities lighting columns. Asset Services is responsible for the maintenance of all assets through responsive repairs & maintenance, planned programmes of improvement and cyclical compliance.
Responsibility for Rural Lighting assets across the District sits specifically with Asset Services Compliance team, this contract being administered by the teams M&E and Energy Compliance Officer(s).
The contract will be for a period of 2 years, with extension options of 1 year plus 1 year commencing 01/07/2025.

WDC - Maintenance of Pumping Stations at warwick district
Warwick District Council would like to invite qualified suppliers to respond to this tender for the provision of Maintenance of Pumping Stations. The Contractor shall carry out routine electrical/mechanical maintenance and repairs at the sewage pumping stations managed by Warwick District Council to ensure their effective operation. A routine maintenance check is required to be undertaken bi-annually and must be recorded on an appropriate document, detailing and including recording hours run meter; recording ammeter reading; checking telemetry and alarms; checking lights; cleaning and maintaining wells/chambers; checking panel and wiring; checking and cleaning floats; wiring and electrics; and checking operation of pumps by operating by hand
The contract will be for a period of Three (3) years commencing 1st May 2025. With an extension option of 1 year + 1 year.
The Contract Value is approximately £17500 [per 12-month period]
