The University of Birmingham ("the University") is reprocuring its Framework for the Supply and Installation of Audio-visual (AV) Equipment, with annual spend through this Framework being approximately £1.6 million.
The scope of the Framework shall include, but not be limited to:
1. The design and supply of:

2. The provision of the following services:
(a) Systems Design (b) Project Management/Installation of Equipment (Lot 2 only) (c) Account management (d) Planned preventative maintenance and reactive maintenance for off-campus facilities (this will not be required for main campus, as maintenance will be managed in-house).
It is envisioned that a multi-lot tender will be conducted in order to establish this Framework. The initial lot structure has been outlined below, although this is subject to change.

1. The purpose of this Prior Information Notice (PIN) is to alert potential suppliers to an opportunity to supply the University of Birmingham with Coffee and Ancillary Products.
2. A supplier engagement day will take place towards the end of January 2024 where suppliers will be given the opportunity to attend a presentation by both Pelican Procurement and The University of Birmingham. As well as this suppliers will be taken on a tour of the campus and any relevant outlets which may be included in the contract. There will be a Q&A portion at the end of this session.
3. Pelican Procurement and The University of Birmingham will be running a Public Tender process for the supply and distribution of coffee and ancillary products. The procurement will be run and advertised via the Mytenders portal (www.mytenders.co.uk)
4. This PIN does not formally signify the beginning of a procurement and does not constitute a commitment by The University of Birmingham to undertake any procurement exercise. In the event that The University of Birmingham decides to tender for the above mentioned tender, this will be issued via the Mytenders portal.
5. The total value of this contract is estimated to be 119 thousand GBP per year with a contract length of 3 years with an option for two 12 month extensions.
6. Potential suppliers should register their interest in this procurement via the Mytenders portal and email elaine.keen@pelicanprocurement.co.uk by Friday 5th January 2024 to ensure they kept up to date on this opportunity including a Supplier Engagement Day in January (date to be confirmed with suppliers after the PIN interest deadline of the 5th January 2024), where The University of Birmingham and Pelican Procurement will present and market test with suppliers the scope of the procurement opportunity.

The procurement is for a new partnership agreement, to succeed the current contract 'THE PROVISION OF RESEARCH TECHNOLOGY PARTNERSHIP AND SOLUTIONS' SC/3818/15. Since 2015, it has supported the evolution and success of the Birmingham Environment for Academic Research (BEAR); its High Performance Computing (HPC) capability as well as other major research computing initiatives, including the EPSRC funded Tier2, accelerated compute facility, Baskerville and the MRC funded CLIMB cloud.
The new technology partnership will underpin the University's ambitious goals, encapsulated in 'Birmingham 2030' and the role of HPC for computational science in achieving those goals. We are looking for a partner to bring expertise and industry insight in the drive to exploit the latest technologies to build high performance, sustainable and reliable services. As such, the partner must be able to deliver added value across our broad spectrum of activity in addition to the basic supply of high-performance infrastructure and services.
It is anticipated that due to the investment required on both sides of this partnership, that this non-exclusive framework will be for 4 years, with an option to extend for a further 2 years + 2 years.
The spend is estimated at £25,000,000. This would be distributed unevenly throughout the course of the contract.
