The Royal Parks is in the process of scoping out a new event. This event will be held on Albert Lawns in Kensington Gardens and is expected to operate for up to five days, with the objectives of celebrating horticulture, helping nature thrive, and promoting sustainable practices in modern life. TRP is excited to partner with an Event Organiser who can bring their expertise, innovation and creativity to make this new major event a success. It is likely that the contract period will be for up to 5 years, (probably as a 3+2), starting in either 2026 or 2027 and for an event held annually in the months of either September or October. TRP is looking for a suitably qualified Event Organiser or suitable consortia to plan, promote and produce an annual event for Kensington Gardens, in return for paying TRP a hire fee upfront. TRP is undertaking this Soft Market Testing exercise to establish levels of interest in the opportunity and to identify any market constraints we should be aware of during the drafting and mobilisation of the tender process. To ensure that economic operators are treated equally and without discrimination, and to act in a transparent and proportionate manner, TRP has advertised its request for participation in this market consultation. TRP notes that should it decide to proceed with any procurement exercise following this Soft Market Testing, these will be undertaken in compliance with the principles of UK Public Procurement Regulations.
TRP is conducting a Pre Market Engagement exercise prior to going out to Invitation to Tender for potential parties to submit a bid proposal to host a 5km event around Hyde Park on the site of the Old Football Pitches. The event will be delivered in partnership with TRP’s event delivery partner London Marathon Events (LME). The event will take place on the second Saturday of October and the estimated contract period is up to 3 years, from 2025 to 2027. TRP is looking for a suitable Event Owner, Corporate or Charity to plan and promote an annual event that is open to the public with a charitable aspect, and that makes use of the existing infrastructure in place for the Royal Parks Half Marathon which takes place on the succeeding Sunday and is also delivered by LME. It is estimated the cost per year for the Saturday Event will be £300k-£350k. This includes the site infrastructure and operations listed in 4.2. The final cost will be dependent upon the agreed event specification. The estimated total contract value across the three years is £900k-£1.05m. It is anticipated that the opportunity will be published in early Summer 2024.
