The design and installation of an adventure playground, including play equipment, surfacing, benches and bins, and an additional entrance, at Mill Meadows in Henley-on-Thames.
Scope of work
The work will consist of:
• Detailed designs for the playground, including drawings and specifications;
• Working in collaboration with the Town Council to undertake a public consultation on the draft designs and to amend them accordingly;
• Obtaining all necessary permissions, licences and approvals to undertake the work;
• Removing and disposing of the existing play equipment;
• Installing the new play equipment;
• Installing new surfacing;
• Installing benches, tables and bins;
• Installing an additional entrance;
• Associated landscaping to dress the playground:
• Equipment and workmanship warranties and support for ongoing maintenance.
Anticipated value
The anticipated value of the contract is £125,000, with a c.10% allowance either side.
The work will consist of:
• Ongoing support for staff and councillors with Council-issued hardware;
• Managing and providing ongoing support with Microsoft 365 accounts;
• Maintenance of Council documents on Sharepoint;
• Assisting with any issues relating to third-party software;
• Managing the security of the Council's IT systems;
• Managing the Council's wifi networks, internet lines and managing any IT connectivity issues, at the Town Hall, Parks Depot, Mill Meadows Pavilion, and any other sites.

1. Level a small triangular area near the Reading Road entrance and install a French drain.
2. Trim back as far as is practically possible hedge and tree lines abutting pitch areas (to be conducted by others ahead of the works).
3. Increase the size of the Youth U15/U16 11v11 pitch immediately adjacent to the hockey pitch to 90 m x 50 m plus 3 m safety margin (no additional works anticipated).
4. Keeping within the existing site boundary (i.e. not going into the triangular powerline plot to the south-east), remove a bund and reinstate a hardcore track to extend the pitch area in the south-east of the site to accommodate two Mini-Soccer U9/U10 7v7 54.90 m x 36.60 m pitches plus 3 m safety margins (running approximately north-south). As an alternative, this area is to accommodate a single U15/U16 11v11 82.3 m x 45.75 m pitch plus 3 m safety margin (running approximately east-west).

Site visits should be arranged via contact with Cath Adams at Henley Town Council. Due to annual leave, these will need to take place before 4 April 2024.
In order to provide changing accommodation for a proposed 3G pitch at Jubilee Park, Reading Road, Henley, alterations to the existing changing rooms at Jubilee Park are required. The Football Foundation require:
i) 2 team changing rooms including safeguarding screen, WC and handbasin and cubicled showers
ii) 2 officials changing rooms with shower, WC and handbasin
iiii) Male, female and accessible toilet provision separate from the changing rooms
v) Changing rooms will need to meet Football Foundation best practice with regard to safeguarding and accessibility, cubicle showers, DDA WC/Change etc
There is a block of 10 changing rooms on site currently, though 5 of these do not have hot water supplies and are being used for storage. Minor works are required to the 2 large changing rooms to fulfil item i) and alterations are required to other changing rooms to provide the new toilet accommodation and officials changing rooms.
The site of the changing rooms is part of Site J in the Joint Henley and Harpsden Neighbourhood Plan and is allocated for the development of around 50 dwellings. An outline planning application is currently with the local authority and following this, marketing of the site will indicate whether the proposed housing development is a viable project for the Council. With this in mind, the Council is seeking cost effective means of achieving the facilities necessary to service the 3G football pitch.
The council also currently provides 4 changing rooms and an official's room for use with the existing Astroturf pitch at Jubilee Park. The same number of changing rooms for the Astroturf will be required going forward and works are required to create these changing spaces.
