Gentoo Group is seeking to appoint a supplier to provide a number of soft facilities management services. The requirements comprise cleaning services, security, pest control, garden clearance, vending, snow clearance, water coolers and sanitary disposal/ vending. This contract will be awarded to a sole supplier for 5 years, with an option to extend by a further 2 x 24 month periods.
Gentoo currently has a varying number of modernisation and investment programmes in progress across the City of Sunderland, Houghton, Hetton and Washington. These works programmes include, but are not limited to, the following
(a) Kitchen & bathroom replacements;
(b) Roofing replacements and structural works;
(c) Environmental works;
(d) Boiler replacement and gas servicing programmes;
(e) EICR and electrical rewire upgrades
These programmes are being delivered by external Contractors and Gentoo Group's own staff and Gentoo has a rigorous Quality Assurance and Quality Control (QAQC) regime to ensure all works being carried out by either its own Operatives or via a third-party Contractors are completed diligently and in accordance with all legal requirements.
The Group currently employs a Technical Assurance Team who are responsible for delivering QAQC inspections to these programmes, however, due to growing demand and the requirement to gain independent, external advice and validation, the purpose of this Procurement is to engage an independent QAQC assessor to provide these services.
The largest element of works which will be delivered by the successful Provider are technical inspections and audits of both gas and electrical installations.
These inspections will vary, and the Gentoo Technical Assurance Team will advise how each inspection will be conducted prior to commencement.
Inspections will be necessary at differing stages of installations, either after completion or during the installation.
The inspections are also further categorised by their intrusiveness. If instructed to complete a non-intrusive inspection, this is deemed to be a visual inspection only. If instructed to complete an intrusive survey, certain elements of the installation will be required to be removed safely and re-installed on completion of the inspection.
To enable a bid to be submitted, the Provider and their Operatives must hold a number of accreditations which demonstrate their competency to deliver these services. Further information regarding this is included within the Tender Pack.

One supplier will be appointed per lot. The contract will be for a 24 month period, with an option to extend for a further 2 x 12 month periods.
Gentoo Group are currently seeking expressions of interest prior to potentially going to market to procure a Provider to deliver responsive window and external door replacements.
The Framework is due to commence in October 2020 and run for a period of four years.
The scope of the works requires the Contractor to attend a property with a damaged window or door, carry out a measurement survey and replace the window or door within a prescribed time frame.
Please note: this Tender is to procure a RESPONSIVE window and external door replacement Provider. Works are unplanned and the Contractor will be required to adhere to the time frames stated within the service level agreements which are included in the Tender documentation.
All boarding up works, where required, will be completed by Gentoo prior to the Contractor attending site.
All works to be completed as part of this Tender will be completed during "normal" working hours and an out-of-hours responsive service will NOT be required.
Please also note that whilst this is a window and external door requirement, it is envisaged that the vast majority of replacements will be external GRP doors

Gentoo Group are looking for a training provider for our gas team. We require accredited gas training provider to provide gas training which is recognised by Gas Safe Register and the HSE for gas engineers in both the Domestic and Commercial ACS elements, as required to ensure all our engineers are accredited in their areas of work.
Gentoo Group has a number of premises located within the boundaries of Sunderland Houghton, Hetton and Washington.
A number of these premises have shutters, barriers and gates which require regular preventative maintenance in addition to general ongoing repair requirements.
The purpose of this Procurement is to arrange for the delivery of these services.
The works that will be required to be delivered by the Provider are as follows:
(a) To carry out Service Visits once every six months to each gate, barrier and shutter at each premises including the provision of reports to be submitted to Gentoo;
(b) To conduct Safety Force Tests and Risk Assessments as necessary to each gate, barrier and shutter;
(c) To carry out responsive repairs as and when required both during working hours and out-of-hours; and
(d) To provide general consultancy services regarding the condition of Gentoo Group's gates, barriers and shutters.
The Contract is to run for a period of 2 years initially, followed by 2 x potential extensions of 12 months - a maximum duration of 4 years in total.
On completion of the initial 2-year period stated above, the decision will be made by Gentoo Group's Repairs & Maintenance Team in agreement with the Provider as to whether to disband the Contract or to activate the first possible 12-month extension. This process will then repeat after that initial extension period. In the event that both extension options are utilised, the Contract will then conclude after a total duration of 4-years.

PROCUREMENT OF EXTERNAL REFURBISHMENT PROVIDER TO CITY GREEN, SUNDERLAND.
The City Green building is a mid-rise block comprising of 53 dwellings, located within the city centre of Sunderland, SR2 7BA. The block also comprises a GP Surgery, which is located on the ground floor of the block. The building currently suffers from water ingress during harsh weather conditions due to failings in the original construction detail. The cause of the water ingress is due to two factors: inefficient cladding to the exterior building façade and issues with the window and sliding door installations.
The purpose of this procurement is to engage a Principal Contractor to remove the existing rainscreen cladding and replace it with a pre-specified product and to also replace the existing windows and sliding doors to the entire block to ensure the safety of residents.

As part of its duty to its Tenants, and in response to the ever-growing energy crisis, Gentoo wish to commence a programme to install and top up loft insulation within its properties and reduce the impact of increasing energy costs to its Tenants.
This programme initially encompasses approximately 1,000 properties, all of which either require the topping up of existing loft insulation, or new installation of loft insulation.
Once the initial 1,000 properties have been completed, Gentoo will then be in a position to provide further works orders to the Provider for loft insulation installations.
A list of the 1,000 properties to be completed initially will be provided within the Tender Pack, there is no order of preference for completion and the Provider may determine their own programme and select the most effective and efficient way to complete the works. However, it will be a requirement that all properties can be completed within a period of 3 months. A copy of the programme will be required to be submitted and signed off by the Contract Administrator prior to commencement.
Whilst the Provider's Operatives are on-site carrying out the works, Gentoo will then be in a position to enter discussions regarding future works.
Gentoo would reserve the right not to award more than the initial tranche of properties should performance issues arise.

The purpose of this tender is to procure a Contractor to demolish 44, 45, 48, 49 and 50, 51 Whickham Street, which is located in Roker, Sunderland.
Gentoo are currently arranging for all service disconnections, and these will be completed prior to the Contractor starting on site. There will also be a requirement for the demolition Contractor to remove all identified Asbestos Containing Materials.
Once all demolition has been completed and all waste removed from site, the Contractor will be required to import the correct amount of topsoil to lay where the properties once stood and to lay grass seed within this area. In addition, there will also be a requirement to install knee-high fencing to the perimeter of the site to stop any illegal parking where the properties once stood.
Gentoo Group are embarking on a programme of works to enable structural appraisals of 25 high-rise residential tower blocks. The appraisals are required to demonstrate that the buildings are safe for occupation from structural collapse and fire spread as prescribed in the Building Safety Act 2022.
In order to confirm this safe occupation, structural integrity and fire safety - an intrusive survey must be carried out to each high-rise block.
The surveys will be required to various separate points of each of the 25 blocks, parts of the structure will be required to be exposed, sampled and then made good on completion of the survey.
Gentoo have engaged a Surveying Consultant to carry out all sampling and testing services and have also engaged an external façade Provider to retrieve external samples.
Therefore, the purpose of this procurement is to engage a Contractor to carry out all opening up, exposure and making good of the sample areas on completion.
The surveys must be conducted to various separate points within each high-rise block and will involve the following works:
(a) The breaking out of concrete at ceiling junctions;
(b) The breaking out of concrete at floor junctions;
(c) Core drilling of holes into concrete;
(d) The retrieval of samples of exposed materials;
(e) The making good of areas on retrieval of the samples; and
(f) Testing of materials.
The purpose of this procurement is to engage a Contractor to deliver the services listed within points (a), (b), (c) and (e) above.
As stated previously, each of the 25 blocks will be required to be surveyed at various separate points of the building. Therefore, it will be the intention of Gentoo to gain access to the apartments within each block where necessary - and to decant Tenants if void properties are unavailable to allow the survey works to commence.
It is foreseen that the removal of kitchens, bathrooms or any other fixed elements will not be necessary and that all breaking out works can be completed without the need to disrupt fixtures or fittings.
