This tender opportunity is seeking to make an appointment for a manufacturer to fabricate and supply the identified fire door sets detailed within the appended schedules and design packs to align with the site works and permit the contractors to install the items.
The works form part of an ongoing refurbishment programme that seek to make improvements to fire safety measures to the university’s student accommodation assets
The university requirements and scope for fire door sets replacement works is based upon the Cardiff University’s “Silver fire door replacement scheme”. The university’s silver scheme is based upon a risk assessment approach for fire safety and forms part of the university’s overarching fire safety strategy improvement works.
The silver scheme approach seeks to replace flat entrance door sets, kitchen door sets and central circulation door sets, and plant door sets with new certified door sets.
The door sets are to be replaced and installed with certified door sets including the manufacture and installation to BM Trada Q mark (as noted above this is a supply only contract with the installation being procured under a different contract)
It is anticipated that all site works are to be undertaken during the summer period from mid-June through to late-August of 2024 while the identified assets are vacant over the summer period.
Tender package has been divided into 3no. lots as summarised below:-

A Client Technical Advisor for the relocation of specialist lab
facilities to the Henry Welcome Building.
This role will assist the University in a project to relocate specialist labs, ensuring that all
technical aspects of the design, construction and move are undertaken in accordance with
user requirements and all relevant legislation, this should include validation of the facility.
This procurement exercise is for the appointment of suitable Contractor(s) to execute general maintenance and repair type, Small Project Works up to a maximum value of GBP 25000 and at Buildings and grounds throughout the University of Cardiff Estates complex.
The Contracts on award shall be Framework Term contracts for an initial period of Two (2) years with an option to extend for two (2) separate periods of 12 months each. That is potential of four (4) years in total.

Project works are primarily delivered by the Universities campus development team, these projects generally comprise of a wide range of small to medium scale, construction extension and refurbishment works.
Sub-contracting to the Main contractor would be supporting MEP contractors to carry out MEP installations associated with this type of project work.

Taith is a Welsh Government funded programme with a high public profile and requires a continuous and consistent public presence, including a website, social media, case studies, published outcomes etc.
Taith is run by a wholly owned subsidiary company of Cardiff University. Initially, the spend for website and media services was £25k but it is now anticipated that the spend on media services will exceed the PCR 2015 threshold of £213k and it is will likely cost a lot more than this in the long-term and therefore requires a framework for Taith to call off from.
There are a number of different elements so these could be divided into lots to enable a wider choice of supplier.
1. Branding: To include, branding guidelines and updates to the branding styles and designs. Needs to be created in both English and Welsh.
2. Video creation: To include all videos such as case study filming and editing and attending events. Including providing their own consent forms and compliance with relevant regulations for GDPR. Needs to be created in both English and Welsh. To include longer videos for the website as well as social short videos.
3. Still photography: To including taking photos of Taith related events and participants. Including providing their own consent forms and compliance with relevant regulations for GDPR. Also being able to create and/or provide stock images where necessary.
4. Social media assets: Create social media assets as templates for us to use internally. To also create short videos to explain elements of Taith in both English and Welsh. Ad hoc short animations will also be required.
5. Comms strategy – helping to shape and develop a comms strategy along with the Taith team.
6. PR support: Press / articles / copywriting – creating press releases and providing channels for us to get the press releases to the relevant media outlets. Development of campaigns, and supporting liaison with media contacts.
7. Graphic design - Development of tangible media products such as, merchandise, pull-up banners, leaflets
There is currently a team comprising a Senior Impact and Communications Officer and Social Media Officer but the level of public profile requires more resourcing and expertise in the areas of branding, graphic design, video creation, still photography and other media services.
Cardiff University would like to appoint an ‘in-country representative’ in Mexico. This would be via one of our education agents we already work with, called Inova (rather than via a Launchpad Service). The education agent will employ the individual, and we will direct their work to achieve our outcomes. A collaboration between the charity Support Through Court and Cardiff University to provide a court support service for litigants in person/the general public, providing pro-bono guidance and support
Cardiff University has recently established a Continuous Improvement Hub to oversee the delivery of
improved processes across the organisation. In February 2025 we trained a group of 40 staff in Lean
Competency System level 1b&c (yellow belt equivalent) and 12 in level 2 (green belt equivalent).
These 12 staff completed both yellow and green belt. We now wish to train further groups of staff to

a more efficient, cost effective and secure accounts payable process.
The university currently processes approximately 130,000 invoices per annum. The invoices
are manually entered into Oracle EBS and saved locally.
We are looking for a SaaS based AP Automation solution to be implemented in the autumn of
2025, which is capable of processing invoices received via email, capturing and storing
invoice data and images, and integrating to Oracle EBS AP Invoice Workbench.
