Through this RFI, the College aims to explore secure database solutions that
integrate with public-facing websites. We are also seeking to understand suppliers'
capabilities in evaluating and developing AI tools and models for two purposes: first,
to generate accurate Incident Learning Summaries (ILS) that describe official reports
into death and serious injury cases; and second, to support automated data
ingestion that enables resources on specific websites (such as coroners reports) to
be scraped, relevant data to be transformed, validated and imported automatically
into the database, reducing the need for manual entry. These requirements are
detailed further below.

We have two sites where we host delegates and we generate revenue by hosting events, training courses and offer hotel accommodation. All onsite events and hotel stays have the option for delegates to access our onsite catering services. One site has 384 rooms and the second site has 80 rooms.
The solution is required to manage our hotel, on-site/off-site/online events and courses including delegate booking, scheduling of room and trainer resources, invoice tracking and payment. Delegates will not 'sit' any training courses within the solution.
The solution would need to manage tasks performed by our onsite reception, security, catering, and housekeeping teams. We also have remote based admin teams that manage the creation of events, scheduling and room resourcing for hotel/ events.
We require a booking journey for guests and delegates so they can self-book their accommodation/event or be booked on by someone else.
The solution should provide reporting analytics features for us to generate metrics for Management Information reporting on all aspects of our activity. All functionality should be auditable and utilise Role Based Access Control (RBAC). The solution should allow for customisation by us, on screens such the booking forms, event types and user/trainer profiles.
Data should be stored/platform hosted in UK or European Economic Area.
All staff who have access to the system must be vetted at NPPV2 for non-privileged users and NPPV3 for privileged users.
We will consider one single integrated solution or separate solutions which may or may not be integrated to fulfil our requirements.

This includes the management of course and event bookings, onsite hotel accommodation, training room and resource allocation, offsite product delivery, professional event management, management of site visitors and a repository for all training records.
The current system was procured in 2011 and is a web-based system with a limited number of licenses. The product is however at the end of its life as it is no longer supported by Internet Explorer. The system is too internal facing with many manual steps in processes and limited automation of tasks. There is also no access to external customers which allows them to directly book training or accommodation. As such the College has concluded that the existing platform is no longer fit for purpose and is impeding the drive to improve customer service.
In order for the College to transform how it operates we are seeking to take advantage of newer technologies in the market which can lead to new effective and efficient ways of working and drive improvements through automation within the College which will lead to a better customer experience for internal and external customers.
