Elderpark Housing Association are seeking to establish a Contract for the provision of Responsive Repair and Voids Property Works Maintenance services with a suitably experienced and qualified Service Provider. It is envisaged that the Contract will commence not later than Thursday 1st September 2022 and will operate for a maximum of two years (with the option of annual 12 month extensions up to a maximum of a further three years) and will be delivered throughout Glasgow. The estimated value of the Two Year Contract is 640000 GBP and the estimated annual value of each 12 month optional extension is 320000 GBP. The total estimated value for the potential five year length of the contract is 1600000 GBP (inclusive of the three twelve month optional extensions).

The Contract applies to tenement stairs, common close and deck access cleaning to closes belonging to Elderpark Housing Association within Govan, Cessnock, Ibrox and Kinning Park, Glasgow. (See tender Document 1). The Contract term will be for an initial one year period with optional annual 1 year + 1Year extensions upto a maximum contract during of three years overall.
The decision to award the contract extensions will be at the discretion of Elderpark Association and will be on the basis of one year increments. Bidders should note that the list of properties and scope of works required to be carried out may increase or decrease during the contract period. Bidders are also advised that Elderpark Housing Association may extend the Contract to additional locations throughout Govan, Cessnock, Ibrox and Kinning Park to take account of any changes to requirements or new stock acquired during the Contract.
Bidders are also advised that Linthouse Housing Association may purchase from the Contract. A separate exchange of letters will be required between Linthouse Housing Association and the successful Bidder and Elderpark Housing Association will have no liability to any Contract entered into between Linthouse Housing Association and the successful Bidder.
Bidders are advised that the requirements of the tender documentation and the Contractor’s tender submission shall also apply to any Contract entered into by Linthouse Housing Association and the successful Bidder, excluding the prices entered within Tender Document 3 ‘Close Cleaning Pricing Document’.
A separate Pricing Document and property address list will be issued by Linthouse Housing Association to the successful Bidder for pricing and agreement, prior to conclusion of a Contract between Linthouse Housing Association and the successful Bidder.

The Contract primarily involves Gas Servicing throughout tenant occupied properties within G51, Govan area of Glasgow. The Contract duration is two years (twenty-four months) from the commencement date of 1st April 2023 until the 31st March 2025, and will primarily include an annual gas service and reactive maintenance (including parts) to each property, the recording, testing and service to existing smoke, heat and CO detectors. The proposed works may also include the variation unquantified Modelcodes described within Tender Documents 2 (Pricing Matrix) and 6 (Activity Schedule).
Subject to satisfactory performance of the Contractor, which will be assessed through measurement of the Key Performance Indicator’s (Refer Tender Document 8) it is intended that the Contract will be further extended annually in twelve months increments up to a maximum of three years and an overall maximum contract period of five years.

The Contract may also include Elderpark Housing Association’s ‘helpline’ garden maintenance scheme involving landscape maintenance to gardens of elderly residents. However, this work is provisional and not guaranteed, and Bidder’s rates for the ‘helpline’ garden scheme will not be taken into account in the tender evaluation.The commencement date for the Measured Term Contract is currently estimated to be 1st July 2023 and the completion date is 30th June 2025.
Subject to satisfactory performance of the Contractor, which will be assessed through measurement of the Key Performance Indicator’s (Refer Tender Document F), it is intended that the Contract will be extended on an annual basis by a maximum of two further years until 2027. Orders for future landscape maintenance services may be placed by Elderpark Housing Association during Year Thee, Year Four or at any point until expiry of the Measured Term Contract (maximum of four years from the date of entering into the Contract).

The Contract will involve gutter cleaning maintenance throughout Ferguslie Park, Paisley, Renfrewshire.
The Contract may also include cleaning of roof skews, valleys and flashings and also remedial, repair and improvement works to the existing roof finishes, drainage and disposal systems where seen at each property cleaning visit.
Ferguslie Park Housing Association intend to enter into a Three Measured Term Contract with a Single Contractor to undertake all services required annually, as described within the Pricing Matrix incorporated within Tender Document A.
Subject to satisfactory performance of the Contractor, which will be assessed through measurement of the Key Performance Indicator’s (Refer Tender Document H), it is intended that the Contract will be extended on an annual basis by a maximum of two further years until 2029. Orders for future gutter cleaning maintenance services may be placed by Ferguslie Park Housing Association during Years One-Five, or at any point until expiry of the Measured Term Contract (maximum of four years from the date of entering into the Contract).
The requirement will also include reporting of any defects or faults encountered during the gutter cleaning services on the existing roof coverings, roof structures, disposal systems, gutter, rainwater pipes and connections between rainwater pipes & gutters, including missing connections or gutter stop ends. The Contractor may also be required to undertake minor roof repair works including remaking joints, replacing missing or misaligned rainwater brackets or offsets, unblocking choked drains and pipes, and replacing missing or damaged tiles.
