1. The purpose of this Prior Information Notice (PIN) is to alert potential suppliers to an opportunity to supply the following hospitals with patient meals a. ST Peters Hospital - Guildford Road, Chertsey, Surrey, KT16 0PZ b. Ashford Hospital - London Road, Ashford, Surrey, TW15 3AA 2. It is currently envisaged that the procurement will be divided into 9 Lots, Main Meals, Soups, Hot Desserts/Puddings, Sides/Finger Food, Jacket Potatoes, Cold Desserts, Children's, Out of Hours and Special Diets. The total value of this contract is estimated to be 1 million GBP per year with a contract length of 5 years with an option for two 12 month extensions. 3. A supplier engagement day will take place in mid-January 2024 where Ashford & St Peters hospitals NHS Foundation Trust and Pelican Procurement will present and market test with suppliers the scope of the procurement opportunity. The first stage of the tender is expected to be sent to suppliers via the Mytenders portal in February/March 2024. Suppliers will be shortlisted before being invited to the 2nd stage of the tender process. 4. The procurement will be run as a restricted two stage process under the Pagabo Food Broker Services Framework. The tender will be advertised via the Mytenders portal (www.mytenders.co.uk). 5. This PIN does not formally signify the beginning of a procurement and does not constitute a commitment by Ashford & St Peters hospitals NHS Foundation Trust to undertake any procurement exercise. In the event that Ashford & St Peters hospitals NHS Foundation Trust decides to tender for the above mentioned lots a separate private tender will be issued via the Mytenders portal. 6. Potential suppliers should register their interest in this procurement via the Mytenders portal and email john.best@pelicanprocurement.co.uk to ensure they are kept informed of this opportunity, including a Supplier Engagement Day in January (date to be confirmed with suppliers after the PIN notice deadline), where Ashford & St Peters hospitals NHS Foundation Trust and Pelican Procurement will present and market test with suppliers the scope of the procurement opportunity. The Supplier Engagement Day does not form part of a formal procurement process and Ashford & St Peters hospitals NHS Foundation Trust reserves the right to decide whether or not to proceed with the procurement. Potential suppliers shall be solely responsible for any costs which they incur as a result of participating in any aspect of this supplier engagement exercise.
